Project Overview

4MD Medical operates in a high-volume, supplier-driven medical distribution environment in the United States, where accuracy and traceability matter every day. With over 250,000 SKUs, a dropshipping-heavy fulfillment model, and multiple payment scenarios, the business had clearly outgrown a setup that relied solely on the website.

The goal of this project was to provide 4MD Medical with a centralized Odoo v17-driven ERP backbone that integrates ecommerce orders, inventory, purchasing, and payments into a single system. The focus was on creating a setup that could scale with order volume, support complex dropshipping & authorization-based payment flows, and give teams real-time visibility without slowing down ongoing sales.

The Key Challenges 4MD Medical Shared with Uncanny

1.

We’re using too many tools, but none of them talk to each other.

Sales, invoices, CRM activities, and stock updates were spread across Excel, SOS Inventory, and other tools. With no unified system, teams struggled to understand the actual status of orders and inventory at any given time.

Every website order has to be handled manually.

WooCommerce orders did not sync with any backend system. Order details had to be re-entered manually, slowing processing and increasing the risk of data mismatches across sales, inventory, and invoicing.

Our customer data isn’t reliable.

With customer records spread across tools, internal teams frequently worked with incomplete or mismatched information, impacting daily operations and customer-facing decisions.

Tax calculation is handled in a separate system.

TaxJar operated independently, with tax values manually updated in orders and invoices. This added extra steps to daily workflows and created room for inconsistencies in tax handling and reporting.

5.

We have no system-level visibility into dropshipping.

Supplier fulfillment was not tracked within an ERP. As a result, order updates were missed, communication with suppliers lacked clarity, and deliveries were often delayed.

Uncanny’s Expert Odoo v17-WooCommerce Integration

Unified Sales, Purchase & Inventory Operations

Odoo v17 replaced the website-only operating model by centralizing sales orders, purchase workflows, invoicing, and inventory management into a single system. This created a consistent flow of information across orders, suppliers, and stock movements, significantly improving traceability and control.

Two-Way WooCommerce Integration

We implemented a two-way integration between WooCommerce and Odoo, enabling real-time order creation, automatic customer updates, and synchronized inventory movements. Website orders now flow directly into Odoo without manual intervention, ensuring consistent data across both platforms.

Advanced USAePay Payment Gateway Integration

We integrated USAePay with Odoo to support complex payment scenarios, including authorization-only transactions, captures, refunds, voids, and adjustments. Saved payment methods and expired authorizations were to be managed securely in Odoo, eliminating the need for customers to re-enter card details.

Structured Dropshipping Workflow Setup

Our team configured a structured dropshipping workflow in Odoo to align sales orders with supplier purchase orders. This provided teams with clear visibility into supplier fulfillment, order status, and delivery progress, bringing control to a previously non-transparent process.

Centralized Customer & Payment Method Management

Our team brought together customer records and payment methods within Odoo. This improved data accuracy, simplified repeat transactions, and gave internal teams clearer visibility across customer interactions and payment histories.

Real-Time Transaction Tracking & Webhooks

We implemented transaction and ACH status webhooks to enable real-time updates within Odoo. This ensured timely visibility into payment statuses, reduced manual follow-ups, and improved operational responsiveness.

With sales orders, purchase orders, and stock movements fully connected inside Odoo v17, inventory traceability improved by 98%. Internal teams of the distributor can now see precisely where inventory stands across both dropship and direct fulfillment workflows.

Structured dropshipping workflows now link sales orders directly to supplier purchase orders. The 4MD Medical team now has real-time visibility into supplier fulfillment, shipment status, and delivery progress.

Customer records and saved payment methods are centralised inside Odoo, making repeat transactions easier to manage and improving reporting accuracy for sales, finance, and operations.

Real-time transaction and ACH webhooks provide live payment status updates inside Odoo. This reduced manual follow-ups and improved responsiveness to payment-related issues.

Moving from a website-only setup to a fully integrated ERP ecosystem gave 4MD Medical a structured foundation that supports growth without adding operational complexity.
